One card on file, one invoice, every line.
The desk, the boardroom, the mailbox and the tickets on one invoice, on your letterhead, charged to the card on file by a billing run that happens every day whether or not anyone remembered.
Billing leakage is quiet, and it adds up to thousands a year.
At twenty or thirty members the leaks are small enough to miss: the overrun nobody billed, the scan fee waived at the desk, the room a member booked at the guest rate, the invoice that went out late because the spreadsheet was open on someone else's screen. Manual invoicing costs about twelve dollars an invoice in time; automated, about three. The bigger cost is the line that never made it on.
Three ways to sell time, one way to bill it.
Memberships and levels
A membership with a level and a price, billed monthly on the card on file. Change the level and the next run picks it up. The member cap on your tier counts active and past-due memberships, nothing else.
Prepaid allowance plans
A block of hours or days each month. Bookings draw it down; set rollover or a monthly reset per plan. Overage lands on the invoice.
Credit wallets
A balance the member spends on rooms and services. Sell credit packages from your site, keep a ledger of every movement, and switch on auto top-up so a wallet never runs dry mid-booking.
The invoice, as the member sees it.
Every line traces to something the record did: a membership renewed, a room booked from your website, a scan in the mailroom, two tickets checked in at the door. The receipt posts to the client portal the moment the card clears.
- Your logo and letterhead on invoices, receipts, refund notices and credit notes
- Your own document numbering, editable
- Tax amounts on every document
- Receipts and history in the client portal

Billing that happens whether or not anyone remembered.
Raise
Each day the run finds what is due: renewals, settled bookings, mail fees, overage. It writes the invoice.
Charge
The card on file is charged. Several cards per member are allowed, with a default and a card per subscription, so the company card pays the desk and the personal card pays the tickets.
Mark and remind
A failed payment marks the invoice and the membership, and reminders go out on a schedule. For a mailbox, the box locks on day ten and mail is still received.
Correct
A refund raises a refund notice. A credit raises a credit note. Both are PDFs on your letterhead, numbered in your sequence, and on the record.
Card details are held by Stripe, never by Tenvia Coworks. Processing is at Stripe's published Canadian rates; there is no Tenvia fee on direct business.
What billing costs you elsewhere.
The spreadsheet costs time. The per-member platform costs more every time you have a good month. Neither puts the mail fee and the ticket on the same page as the desk.
| Doing it this way | What you get | Cost |
|---|---|---|
| Manual invoicing | Invoices typed from a spreadsheet, chased by hand, and the lines that got missed | ~$12 per invoice in time, against ~$3 automated |
| Per-active-member platforms | Recurring billing, priced on whoever was invoiced or booked last month, so a busy workshop week raises next month's bill | Scales with active members |
| A payment gateway add-on | Card payments switched on as a separate line at some platforms | $10 per location + $0.04 per transaction at Nexudus; $49 / mo for a non-Stripe gateway at Optix |
| QuickBooks Online | Your ledger. It stays your ledger; this is not a replacement for it | C$45–85 / mo |
| Tenvia Coworks | Memberships, plans, wallets, cards on file, the daily run, and every document on your letterhead, on one client record | Included on every tier, no per-member pricing |
Third-party fees are published or reviewer-reported as of September 2026 and change without notice, so confirm with each vendor. All product names are trademarks of their respective owners. Tenvia Coworks starts at $95 CAD per location per month; the tier sets a member cap, not a feature list.
What this is not.
Not this
- Not an accounting system. QuickBooks or your accountant's ledger stays where it is.
- Accounting sync is planned. There is no QuickBooks or Xero connection yet; today you export.
- Not a tax engine. Tax amounts are carried on every document; there is no rate engine and no provincial presets today.
- Not a card vault. Stripe holds the card; we hold the reference.
But this, yes
- Memberships with levels, billed monthly on the card on file
- Prepaid hour and day allowances with rollover or reset
- Credit wallets with packages, a ledger and auto top-up
- Several cards per member, a default and a card per subscription
- Invoices, receipts, refund notices and credit notes as PDFs on your letterhead
- A daily billing run, failed-payment marking, reminders, and a client portal with history
What lands on the invoice comes from bookings, virtual mail and events. The subscription you pay us is on the pricing page.
